What is Figments?

Figments is practice management software built specifically for Australian allied health providers — primarily speech-language pathologists (SLPs) and related clinicians. It covers client records, NDIS and Medicare invoicing, scheduling, session notes, Voice AI note-taking, and a communications inbox in a single product.

Who is Figments designed for?

Solo practitioners and small-to-medium allied health practices in Australia. Figments supports Speech-Language Pathology, Occupational Therapy, Physiotherapy, and Psychology with profession-aware note fields, goal structures, and service codes. SLP practices see specialised clinical data fields (disorder area, cue level, stimulability, trial accuracy %).

Is Figments an Australian product?

Yes. Figments is built and operated in Australia, with all application functions and the database hosted in the Sydney region. The product is designed around Australian regulatory requirements: the Privacy Act 1988, the Spam Act 2003, NDIS pricing and billing rules, and ATO invoicing requirements.

Where is my data stored?

All clinical data is stored in a Neon Postgres database provisioned in the AWS ap-southeast-2 region (Sydney). Uploaded files — including session attachments, resources, and Voice AI recordings — are stored in Google Cloud Storage in the australia-southeast1 region (Sydney). Application functions run on Vercel's syd1 region. Your data does not leave Australia.

Is Figments secure?

Security is a core design priority. Specific measures include: mandatory multi-factor authentication (TOTP) for all clinician accounts; role-based access control with five scoped roles; strict multi-tenant isolation so no practice can ever access another practice's data; application-level encryption (AES-256-GCM) for session notes, NDIS numbers, message bodies, and OAuth tokens; an append-only, immutable audit log of all clinical record mutations; soft-delete on all clinical models; and error reporting configured to strip all clinical field values before sending to external services.

Does Figments have a mobile app?

Yes. Figments has a native iOS app built with React Native and Expo. The mobile app includes access to your schedule, client records, session notes, messaging, and invoices with biometric authentication (Face ID). An Android version is planned for a future release.

What disciplines does Figments support?

Figments supports Speech-Language Pathology, Occupational Therapy, Physiotherapy, and Psychology. Note fields, goal structures, and service codes adapt automatically based on your practice's registered profession. SLP practices see specialised clinical data fields (disorder area, cue level, stimulability, trial accuracy %). The general client management, scheduling, invoicing, and NDIS billing features are shared across all disciplines.

Is Figments suitable for a solo practitioner?

Yes. The free tier supports one clinician and up to 10 active clients, which is a viable starting point for a sole trader evaluating the platform. Solo practitioners can upgrade to Gold when they need more capacity — see the pricing page for current rates.

Pricing and Billing

How much does Figments cost?

Figments offers four tiers billed weekly in AUD: Free (1 clinician, 10 clients), Clinician App (mobile-only access for contract clinicians linked to a practice), Gold (full platform for solo clinicians), and Platinum (per clinician — full platform for practices with resource sharing included). Usage-based add-ons (SMS, Voice AI, e-signatures, etc.) apply on all tiers. Receptionist and Guardian accounts are always free. See the pricing page for current rates.

What is included in the free tier?

The free tier allows one clinician and up to 10 active clients. All core features are available within those limits, including usage-based add-ons (SMS, Voice AI, etc.) with free allowances. Once you exceed 10 active clients or need to add a second clinician, upgrade to Gold or Platinum — see the pricing page for current rates.

How does billing work?

Figments bills weekly based on your plan. Gold is a flat weekly rate for a single clinician. Platinum is billed weekly per active clinician or admin seat. The Clinician App tier is a weekly rate for contract clinicians with mobile-only access. See the pricing page for current rates. Receptionist and Guardian roles are always free. If you deactivate a team member, that seat is released at the next billing cycle. Billing is managed through Stripe.

Can I add or remove seats mid-cycle?

Yes. When you add a clinician, the new seat is prorated for the remainder of the billing period. When you remove or deactivate a clinician, the seat reduction takes effect at the start of the next cycle.

Can I cancel my subscription?

Yes, at any time. When a subscription lapses or is cancelled, your practice moves to read-only mode: all clinical records remain fully accessible and nothing is deleted. You can export data and continue viewing history. You cannot create new records until a subscription is reinstated.

What happens if a payment fails?

Stripe will retry failed payments per its standard retry schedule. Figments syncs subscription status from Stripe in real time via webhooks. If a subscription enters a lapsed state due to a failed payment, the practice moves to read-only mode until payment is resolved.

Can I get a tax invoice for my subscription?

Yes. Practice owners can view billing history and access invoices from within the billing settings. Invoices are issued in AUD and include GST where applicable.

Does Figments charge GST on subscription fees?

Figments is an Australian business supplying services to Australian customers. GST applies to subscription fees at the standard rate of 10%.

Is there a long-term contract?

No. Figments subscriptions are billed weekly with no minimum commitment. You can cancel at any time.

What payment methods are accepted?

Payments are processed via Stripe. Accepted methods include major credit and debit cards. You can update your payment method at any time from the billing settings page.

Getting Started

How do I set up my practice?

Sign up at figments.com.au, create your account, and complete MFA setup — this is required before you can access the dashboard. You then complete your practice profile: practice name, ABN, timezone, location(s), and contact details. The whole process takes around 10 minutes.

How do I invite my team?

From the team management page, the practice owner or admin can invite clinicians, admins, or receptionists by email. Invitees receive an email, create their own credentials, and are prompted to set up MFA before their first login.

How long does setup take before I can see clients?

Once your practice profile is complete, you can immediately create client records and start scheduling. A basic setup — practice details, one or two clinicians, and your first clients — typically takes under an hour.

Can I import existing client data?

There is no automated import tool in v1. Client records must be created manually. If you have a large existing client list, contact support to discuss data migration options.

Do I need to configure anything before using Voice AI?

Voice AI is self-service — the only requirement is that the client must have an active Voice AI consent record on file. The recording button remains disabled until consent is recorded. No practice-level enablement is needed.

Can I customise note templates before I see my first client?

Yes. Every new practice starts with 37 ready-to-use starter templates — including letter templates, note templates, intake forms, assessment templates, message templates, and follow-up templates. You can use them as-is, edit them to suit your practice, or create your own from scratch.

What roles can I assign to team members?

Five roles are available: Owner, Admin, Clinician, Receptionist, and Guardian. Owner and Admin have the broadest access. Clinician can access their own clients and clinical records. Receptionist can manage scheduling and communications but has limited clinical access. Guardian is a scoped role for parents, carers, or over-16 clients accessing the Family Portal.

What happens when I deactivate a team member?

Deactivated team members lose login access immediately. All records they created remain intact and are not deleted. Their name continues to appear in historical records, notes, and the audit log. You can reactivate a deactivated member at any time.

Is there a setup guide when I first log in?

Yes. After your first login, Figments displays a 6-step onboarding checklist that guides you through initial setup: completing your practice profile, uploading a logo, inviting your team, adding your first client, configuring reminders, and setting up billing. Each step links directly to the relevant page and is marked complete automatically. You can dismiss the checklist at any time and return to it from the dashboard.

Where do I find templates?

Templates have their own group in the left navigation sidebar, organised into four categories: Forms, Letters, Invoice, and Assessment Templates. Every new practice is pre-loaded with 37 starter templates across all categories — you can use them as-is, customise them, or create your own. Click Templates in the sidebar to access all four.

Client Management and NDIS

Can I manage NDIS clients?

Yes. Each client record includes an NDIS number field and a funding type selector (NDIS, Medicare, DVA, Private). NDIS price guide codes are available as selectable fields when creating invoice line items.

What NDIS management types are supported?

Figments supports plan-managed and self-managed NDIS clients, using standard NDIS price guide line item codes on invoices. Agency-managed NDIS bulk claiming via the NDIS portal API is on the roadmap for a future release.

Can I track NDIS funding and budgets?

Yes. Figments includes a full NDIS service agreement and budget tracking system. You can create service agreements with support categories, hours, rates, and total budget. As invoices are created, the total is automatically deducted from the agreement budget. A traffic light system (green/amber/red) shows budget health at a glance on the client's profile, the agreements list, and the dashboard.

Can I import an NDIS plan document?

Yes. When creating a service agreement, you can upload the NDIS plan letter (PDF or image) and AI will extract the funding allocations — including plan dates, NDIS number, support categories, and budgets. You review and adjust the extracted data before saving. Note: the document is processed by Google Cloud Vertex AI in the Sydney region.

Can I generate a service agreement PDF?

Yes. Any service agreement can be downloaded as a professional PDF with your practice details, participant information, support and budget table, terms and conditions, and signature blocks for both the provider and participant/nominee.

How does NDIS invoice deduction work?

When you create an invoice for a client with an active NDIS service agreement, a “Deduct from NDIS balance” checkbox appears (checked by default). On save, the invoice total is automatically subtracted from the agreement's used budget. Individual line items are matched to agreement lines by service code where possible. You can uncheck the box if the client is paying privately for a particular session.

What do the budget traffic light colours mean?

Green (0–69% used) means healthy funding. Amber (70–89%) means funding is running low. Red (90%+) means the budget is nearly exhausted or overspent. The traffic light shows on the client's profile, the agreements list, and the admin dashboard. Visible to Owners, Admins, and Clinicians.

What information can I store in a client record?

Each client record holds: full name, date of birth, contact details, pronouns, primary diagnosis, referral source, NDIS number, funding type, and clinical notes. You can attach files (documents, referrals, reports) directly to the record. A full history view consolidates all appointments, session notes, invoices, and communications for that client.

How do I link a guardian to a child client?

From the client record, a clinician can create a guardian account and link it to one or more child records. The link requires explicit clinician approval. One guardian can be linked to multiple children, and one child can have multiple guardians.

What is the Family Portal?

The Family Portal is a scoped view available to linked guardians (parents or carers of paediatric clients) and clients aged 16 and over. Users can see: upcoming appointments, recent session summaries, invoices, and any homework resources assigned by the clinician. Family Portal users cannot access any other client records, practice administration, or full clinical notes.

Can guardians see full session notes?

No. Guardians see session summaries, not the complete clinical note. The clinician controls what information is surfaced to the Family Portal.

What happens when a child client turns 18?

Guardian access is automatically suspended when a client's date of birth indicates they have turned 18. The clinician receives a notification to review the situation and manage the transition — for example, converting the client to an independent account or obtaining adult consent for continued guardian involvement.

Can I track consent records?

Yes. Figments tracks consent records per client for: general treatment, telehealth (where applicable), and Voice AI recording and processing. Consent records are audit-logged.

How do I mark a client as inactive?

You can mark any client as inactive from their record. This is a soft-delete: the record and all associated history (appointments, notes, invoices, communications) is preserved and accessible. The client no longer appears in active client lists or counts toward billing limits.

Scheduling

Can I set up recurring appointments?

Yes. Appointments can be set to recur weekly, fortnightly, or monthly. You can specify an end date or a total session count. Each occurrence in a recurring series can be managed independently.

Does Figments sync with Google Calendar or Outlook?

The calendar is internal to Figments. External calendar sync is not currently supported.

Can clients book their own appointments?

Yes. You can publish a public booking page that allows clients to request appointments based on clinician availability. Requests are confirmed by clinicians or admin staff before being added to the schedule.

What appointment statuses are available?

Scheduled, Confirmed, Completed, Cancelled, Failure to Attend, and Late-cancel. Moving an appointment to Completed automatically creates a Session record that is ready for note-taking.

What happens when I cancel an appointment?

The appointment status is updated to Cancelled. If a reminder had already been sent, the client is not automatically notified of the cancellation — you can send a manual communication from the inbox. Cancelled appointments remain in the audit log.

What happens when a client cancels via SMS?

If a client replies “CANCEL” to an SMS reminder, the appointment status updates automatically and the clinician receives a notification. The clinician can then decide how to handle the slot (waitlist, reschedule, etc.).

Can I manage a waitlist?

Yes. You can add a client to the waitlist when no suitable appointment slot is available. Waitlist entries are managed manually — there is no automated slot-filling in v1.

How does Figments handle Australian timezones?

The calendar respects Australian timezones per your practice location setting: AEST/AEDT (NSW, VIC, QLD, TAS, ACT), ACST/ACDT (SA, NT), and AWST (WA). Appointment times are stored and displayed in the correct timezone for your practice.

Can I configure per-clinician availability?

Yes. You can set working hours, breaks, and blocked times per clinician. The calendar respects these availability windows when displaying scheduling options.

Session Notes and Voice AI

What note formats does Figments support?

Figments supports SOAP format (Subjective, Objective, Assessment, Plan) and DAP format (Data, Assessment, Plan) out of the box. You can also create fully custom note templates with configurable field types (text, number, select, checklist).

What is SOAP format?

SOAP is a structured clinical documentation format widely used in allied health. The four sections are: Subjective (what the client/guardian reports), Objective (measurable observations from the clinician), Assessment (clinical interpretation), and Plan (next steps, goals, referrals).

Are there SLP-specific note fields?

Yes. SLP-specific clinical data fields are displayed in a collapsible, profession-aware section on session notes. Fields include: disorder area (articulation, language, fluency, voice, AAC), trial accuracy percentage, cue level used, and stimulability. These fields appear automatically for SLP practices and are hidden for other disciplines.

Can I carry forward data from a previous session?

Yes. When creating a new session note, you can copy data from the most recent note for that client into the new note as a starting point.

What is Voice AI?

Voice AI is an in-browser session recording feature that automatically generates a draft SOAP note from the session audio. You record the session, the audio is transcribed, and a note draft is pre-filled in the editor for your review and editing before you save it. You remain in full control — the AI draft is a starting point, not a final note.

Where is Voice AI processed?

Voice AI uses Google Cloud Vertex AI (Gemini 2.5 Flash) in the australia-southeast1 (Sydney) region for both transcription and SOAP note generation. The audio is stored in Google Cloud Storage in Sydney. All AI processing stays in Australia. Data is not retained by the AI service after processing and is not used for model training. The audio and transcript are retained in GCS for the applicable clinical records retention period and are then deleted.

Does the audio ever pass through Figments's servers?

No. Audio uploads directly from your browser to Google Cloud Storage via a pre-signed URL. It does not pass through Figments's application servers or Vercel functions.

How accurate is the Voice AI transcription?

Accuracy depends on audio quality, background noise, and the clarity of speech. Clinical terminology and proper nouns (client names, medication names) may have lower accuracy. Always review the AI-generated draft before locking the note.

Can I view the raw transcript?

Yes. The raw transcript is available alongside the AI-generated note draft so you can cross-reference and correct any transcription errors.

Is Voice AI available on all plans?

Voice AI is self-service and available on all plans as a usage-based add-on. Each plan includes a free allowance of Voice AI minutes; additional usage is billed per minute. Check the current pricing page for allowance and per-minute rates.

Can I lock a note?

Yes. Once you lock/sign off a session note, the original becomes immutable. Any subsequent changes require creating an amendment, which is saved as a new version. The full version history is preserved in the audit log.

Can I track SMART goals?

Yes. You can create SMART goals per client with goal text, target date, baseline, and target accuracy. Session notes can reference active goals and record progress (accuracy percentage) for each session. Goal progress is visualised as a trend chart on the client record.

Invoicing and Medicare/NDIS Billing

Can I generate NDIS invoices?

Yes. Invoice line items support NDIS price guide codes as selectable fields. The system auto-detects NDIS service codes and applies appropriate GST treatment (most NDIS supports are GST-free). Invoices are generated as ATO-compliant PDFs including your practice ABN and a GST breakdown.

Are NDIS line items GST-free?

Most NDIS support items are GST-free under the NDIS rules. Figments's NDIS service code detection applies zero GST to recognised NDIS line items automatically. You should verify GST treatment for any line item you are unsure about, as pricing guide rules can change.

What Medicare item numbers are supported?

Medicare item numbers are available as selectable fields on invoice line items. Figments generates Medicare-compliant invoices and supports Medicare bulk CSV export for batch processing. Online claiming via HPOS is not yet supported — Figments generates invoices for Medicare services but does not lodge claims electronically. Electronic Medicare claiming is a future roadmap item.

Can I bulk generate invoices?

Invoices are created per client. Bulk NDIS claiming portal integration is on the roadmap for a future release.

Does Figments integrate with Xero?

Yes. You can connect your Xero organisation via OAuth from the integrations settings page. Invoices created in Figments are automatically synced to Xero as accounts receivable entries. You can also export invoice data to CSV for manual import into MYOB or other accounting tools.

Can I record payments against an invoice?

Yes. You can record payments with amount, date, and method (bank transfer, card, cash, NDIS). Invoices move through a lifecycle: draft, sent, paid, overdue, cancelled.

Does Figments send invoices to clients?

Yes. You can send a PDF invoice to the client or guardian via email directly from Figments. The PDF is attached to the email and stored against the invoice record.

What happens with overdue invoices?

Figments runs automated overdue invoice email reminders on a configurable schedule. You can set how many days after the due date the first reminder fires, and whether subsequent reminders are sent. All reminders are logged.

Can I view revenue reports?

Yes. Admins can view a revenue report showing total revenue, outstanding, and overdue amounts by period and by clinician. Invoice data can be exported to CSV for use in Xero, MYOB, or your accountant's preferred tool.

Does Figments replace my accounting software?

No. Figments handles clinical invoicing and basic payment tracking. It is not a replacement for accounting software. Complex accounting functions — profit and loss, balance sheets, payroll, BAS lodgement — remain in Xero or equivalent. Figments is designed to feed clean invoice data into your accounting workflow.

Communications

Can I send SMS from Figments?

Yes. You can send SMS to clients and guardians directly from the communications inbox. SMS is delivered via Twilio. Replies from clients are received back into the inbox and matched to the correct thread automatically.

Can clients reply to SMS messages?

Yes. Two-way SMS is supported. Inbound replies are matched to the correct client thread and displayed in the inbox alongside outbound messages. Clients can also reply to appointment reminders with “YES” to confirm or “CANCEL” to cancel.

What is a transactional message?

Under the Australian Spam Act 2003, transactional messages are messages that are directly related to an existing business relationship — such as appointment reminders, invoices, and clinical communications. Transactional messages are not subject to the same opt-in/opt-out requirements as marketing messages. Figments flags clinical appointment reminders as transactional to ensure compliance.

What happens if a client opts out of SMS?

Figments tracks SMS and email opt-out preferences per client. If a client opts out, Figments will not send marketing messages to that contact. Opt-out preferences are respected automatically across all outbound messaging.

Is there a unified inbox for all communications?

Yes. The communications inbox shows all SMS threads, email threads, and internal staff messages in a single view. You can see conversation history, filter by channel, and send outbound messages from the same interface.

How does email threading work?

Outbound emails from Figments include a thread identifier. When a client or guardian replies, the reply is matched to the original thread via Resend's inbound webhook and displayed inline in the conversation view.

Can clinicians message each other?

Yes. Internal messaging between clinicians within a practice is supported. Internal threads are separate from client-facing threads and are visible only to practice staff.

Can I use message templates?

Yes. You can create and save message templates for common communications — appointment reminders, cancellation policy notices, follow-up messages, and so on. Templates are available when composing any outbound SMS or email.

Can I send bulk or campaign messages?

No. Only individual client communications are supported.

Privacy and Compliance

Is Figments compliant with the Australian Privacy Act?

Figments is designed with Australian Privacy Act 1988 compliance as a core requirement. This includes: data stored in Australia, purpose-limited data collection, client consent tracking, audit logging of all access and mutations, and defined data retention and deletion processes. Note that compliance is also a practice responsibility — using Figments does not substitute for your own privacy obligations as a health service provider under the Act.

Where is data stored?

Database: Neon Postgres in AWS ap-southeast-2 (Sydney). File storage: Google Cloud Storage in australia-southeast1 (Sydney). Application compute: Vercel syd1 (Sydney). No clinical data is stored outside Australia.

How long is my data retained?

Clinical records are subject to a minimum 7-year retention period consistent with Australian health records requirements (longer for records involving children, which must be retained until the client turns 25). Figments's retention calculator governs deletion eligibility — Voice AI audio files, for example, cannot be deleted until the retention period has elapsed.

What happens to my data if I cancel my subscription?

When a subscription lapses, the practice moves to read-only mode. All data is retained and accessible. Figments does not immediately delete data on cancellation. If you wish to export your data, you can do so via CSV export during the read-only period. Contact support for a full data export if required. Permanent deletion is subject to the applicable retention period.

Is Figments HIPAA compliant?

HIPAA is a United States regulation and does not apply to Australian health providers. Figments is designed for compliance with Australian law, principally the Privacy Act 1988 and the Australian Privacy Principles (APPs).

Who can see my clinical records?

Clinical records are strictly scoped to your practice. Figments staff do not have routine access to clinical records. Role-based access control ensures that, within your practice, each team member can only see what their role permits. Guardian access is further scoped to only the specific clients they are linked to, with explicit clinician approval required for each link.

Is there an audit log?

Yes. Every create, update, and delete operation on a clinical record is written to an append-only audit log. The log records who performed the action, what record was affected, and when. Audit logs cannot be modified or deleted, even by practice owners. Admins can view the audit log from the administration section.

Are session notes immutable after sign-off?

Yes. Once a clinician locks and signs off a session note, the original content cannot be edited. Any subsequent amendment creates a new version, preserving the full amendment history. This supports clinical and medicolegal record-keeping requirements.

Does Figments use client data to train AI models?

No. Voice AI processing uses Google Cloud Vertex AI in the Sydney region. Data is not retained after processing and is not used for model training. Error reporting (Sentry) strips all clinical field values before transmission.

Technical

What browsers are supported?

Figments supports current versions of Chrome, Firefox, Safari, and Edge. For Voice AI recording, a Chromium-based browser (Chrome or Edge) is recommended for best compatibility with the in-browser audio recording and WASM processing features.

Is there a mobile app?

Yes. Figments has a native iOS app built with React Native and Expo, available on the App Store. The app includes access to your schedule, client records, session notes, messaging, and invoices with biometric authentication (Face ID). An Android version is planned for a future release. The web application remains fully responsive for mobile browser use.

Can I use Figments offline?

No. Figments requires an internet connection. There is no offline mode.

How does session timeout work?

Clinician sessions expire after 8 hours of inactivity. You will be prompted to re-authenticate. Guardian sessions follow standard session management. MFA is required at login for all clinician accounts.

What do I do if something is not working?

First, check that you are on a supported browser and have a stable internet connection. Try a hard refresh (Cmd+Shift+R on Mac, Ctrl+Shift+R on Windows). If the issue persists, contact support via the help link in the application or at the contact address on figments.com.au. Include a description of what you were doing and any error messages you see.

How do I contact support?

Support is available via the in-app help link and through the contact details published on figments.com.au. Email support is the primary channel in v1.

Is there an API for integrating Figments with other tools?

There is no public API. Integration with external systems is available via the Xero OAuth integration for invoice syncing and CSV export for invoice data (compatible with MYOB import). A public API is under consideration for future releases.

How are software updates handled?

Figments is a hosted web application. Updates are deployed continuously and require no action from you. Feature changes and fixes are reflected automatically the next time you load the application.

Can I run Figments on my own servers?

No. Figments is a Software as a Service (SaaS) product hosted in Australia. Self-hosted deployment is not supported.

Online Booking and Telehealth

Can clients book online?

Yes. Each clinician has a public booking page at figments.com.au/book/{slug}. Clients can view available appointment times and book directly. Clinicians control their booking availability, appointment types, and whether bookings are auto-confirmed or require manual approval.

Does Figments support telehealth?

Yes. Figments includes built-in telehealth video sessions, or you can connect your own Zoom account through our integration (Settings > Integrations). Clinicians can start a video call directly from an appointment. Telehealth sessions support Voice AI recording and note generation, just like in-person sessions. Clients join via a link — no app download required. Telehealth is currently available on web; mobile support is coming soon.

Can I send forms to clients?

Yes. You can send forms to clients via SMS, email, or both. Forms can be sent from a client's profile, from the Inbox, or in bulk from the client list by selecting multiple clients and using Bulk Actions. Clients receive a secure link to complete the form online, and submitted responses are automatically linked to their client record.

Can I send forms to multiple clients at once?

Yes. On the Clients page, select the clients you want to send a form to using the checkboxes, open the Bulk Actions menu, and choose Send Form. Select the form template and delivery method (SMS, email, or both), and the form is sent to all selected clients.

Clinical Letters, Agreements, and Referrals

Can I generate clinical letters?

Yes. Figments includes a clinical letter generator with a split-layout editor. You can create letters such as progress reports, discharge summaries, and referral letters from a client's record. The editor features a live preview panel, a simplified toolbar, and a visible variable panel for inserting dynamic placeholders. Letters use your practice letterhead settings and can be exported as PDF.

Can I customise my practice letterhead?

Yes. Go to Settings > Letterhead to configure the appearance of clinical letters. You can toggle individual elements on or off: practice logo, practice details (name, ABN, phone, email, address), accent colour, and footer. What template variables are available in letters?

Letter templates support dynamic placeholders that are replaced with real data when a letter is generated. Available variables include: {clientFullName}, {clinicianFullName}, {clinicianTitle}, {orgWebsite}, {appointmentDate}, {appointmentTime}, along with standard practice details like name, ABN, and contact information.

Can I collect e-signatures?

Yes. Figments supports digital signatures for documents such as service agreements, consent forms, and clinical letters. Clients and guardians can sign electronically, and signed documents are stored against the client record with a timestamp and audit trail.

Can I track referrals?

Yes. Figments includes referral tracking. You can record incoming referrals with source, date, and status, and link them to client records. Referral pipelines help you track clients from initial referral through to active caseload.

Mobile App

Is there a mobile app?

Yes. Figments is available as an iOS app. It gives clinicians on-the-go access to their schedule, clients, messaging, and the ability to record and send videos directly from their phone. An Android version is planned for a future release.

What can I do on the mobile app?

The mobile app supports: viewing your daily schedule, creating appointments, managing clients, sending SMS and email messages with photo/video attachments, viewing invoices, recording and sending videos to clients or guardians, and accessing practice settings.

How do I sign in on the mobile app?

Tap Continue with Google to sign in with the same Google account you use on the web. You can also use an email verification code if Google OAuth is unavailable.

Can I send videos to clients from my phone?

Yes. Tap Capture & Send on the Today dashboard, or use the compose button in the Inbox. You can record a video with your camera or select from your library, then send via SMS (MMS) or email. Files sent to a client are automatically saved to their record.

Is the mobile app secure?

Yes. The app uses Firebase authentication (same as the web platform), secure token storage, and optional Face ID biometric lock. All data is transmitted over HTTPS to Australian-hosted servers.

How do I enable Face ID?

Go to More > Face ID Lock and toggle it on. The app will require Face ID authentication each time you open it or return from the background.

Does the mobile app work offline?

The app requires an internet connection to load data and send messages. Cached data may be visible briefly when offline, but actions require connectivity.

Can I create invoices on the mobile app?

Yes. Tap Invoices on the Today dashboard to view, filter, and create invoices with service codes and line items.
